Crier Event Copy Content Checklist

This checklist is intended as an aid in the proper submission of event copy to The Crier. All copy for events at which official business is to take place must contain ALL of the information below for the enlightenment of the populace, legal, insurance, and tax purposes. Event Copy must be 400 words or less, except for Principality Events (which may be up to 600 words), and Kingdom Events (which may be up to 800 words). (Note: This list is an aid only, you do not need to submit it with your copy.)

Required Items (must be included as a condition for publication)

  • Date of the event (day and month). If the event will not be held during the Common Era year noted on the front cover of the newsletter, the announcement must also include the Common Era year.

  • The time of the event: when the site opens and closes.

  • The name of the sponsoring group.

  • The location (name, street address, and town) of the site. The postal code should also be included if available.

  • The name (both society and modern) and address of the autocrat.

  • If there is a fee being for the event, the statement "Make checks payable to <SCA, Inc. - Group Name>" (or for international group: "Make checks payable to <Group> must be included.)

  • If there is a fee being charged for the event, the $3.00 Non-Member Surcharge must be included. (See Policy Below.)

Other Items

  • Official SCA Event Title (as your event will appear on the calender).

  • Modern Location (Use the town where the event site is located).

Non Member Surcharge (NMS) Policy

(1) The NMS will apply to events which meet the requirements defined in Corpora section II.C., "...Society events for which a full announcement including date, time, and place has been published in advance in the appropriate corporate publication;" and for which a fee or required donation to attend the event is charged.

(2) The NMS will not be collected if there is no fee or required donation to attend the event.

(3) The NMS will not be collected for minors for whom there is a discounted event fee.


Crier Policies/ Submission Guidelines

Here is a sample submission for an imaginary event. Information required by SCA Corporate is in Bold and all of the information on the header is required. Without this information, your event copy will be returned to you for correction.

Our Local SCA group invites you to come to our really neat event. There will be all sorts of things happening and prizes will be given for every category imaginable!

Autocrat:SCA NAME (mka: MODERN NAME), MODERN POSTAL ADDRESS, MODERN PHONE, E-MAIL IF POSSIBLE.

Site lnfo: NAME OF SITE, STREET ADDRESS OF SITE (if there is no street address, you MUST state that.) The event opens at OPENING TIME AND DATE, and closes at CLOSING TIME AND DATE. The site fee will be SITE FEES. Make checks payable to LEGAL NAME OF SPONSORING BRANCH. (If non-member surcharge is applicable, then you must state so. If there is no site fee, then you must state "There is no site fee for this event.")

Directions:EXPLICIT DIRECTIONS ARE STRONGLY RECOMMENDED (and are required for those sites with no street address)! Please have someone not familiar with your site drive there using your directions to double-check them.


All events must have an Event Information Form (EIF) on file with the Kingdom or Principality Calendar Deputy (see the Officer listings). Events where official Society business is to be conducted (i.e. presentation of awards, crown lists, etc. [see Kingdom Law Article V. 5.]) must have event copy published in The Crier as well as being listed on the Kingdom Calendar. Copy will only be run for the month previous to and the month of the event. (For events occuring prior to the 10th of the month, copy may run for the TWO months PRIOR to the month of the Event.) Extra time must be purchased as ad space (see “Advertising“ below).

Copy Submissions: Send all electronic submissions to crier-copy@antir.sca.org ONLYand all checks and hard copy to the Crier Editor at the address inside the front cover. Make checks payable to SCA, Inc.- the Crier. Local event copy over 400 words must pay $30 in extra space fee in advance, or it will be edited for space (No event copy may exceed 800 words or one full Crier page). (See "Advertising" below). Make checks payable to SCA, Inc. - The Crier. DO NOT send multiple submissions of Event copy (i.e., an e-mail and a hard copy, or e-mail to both crier-copy and crier-ed). If you do not receive a receipt of your submission, please call the editor before resubmitting. If your copy is returned to you for correction, make the corrections and resubmit the entire copy. Handwritten copy will not be accepted.We reserve the right to reject submissions and corrections which are unreadable.

File formats: When submitting copy via e-mail, please send your copy in *.doc, *.txt or *.rtf formats. We cannot accept *.wpd or *.wps files. Any unreadable format will be returned for reformatting.

Deadline:Copy must be received (not postmarked) by the Crier Editor (see the inside front cover page of the Crier for address information) by the 28th day the month two months prior to your event The deadline does not change for Sundays and holidays, so please keep the US postal schedule in mind when mailing submissions.

Communications:E-mail is the preferred form of communication. The submissions address is crier-copy@antir.sca.org. For event and letter submission, please utilize this address only. For correspondence directly with the Editor, please utilize the crier-ed@antir.sca.org address. For regular mail enclose a SASE for quickest response. Phone messages will be dealt with as time permits. We assume permission to call back collect. Please also leave your full phone number including area code. Allow reasonable response time.

Artwork:Should be sent to the Crier Editor at the address listed on the inside front cover. Branches or officers who desire their heraldic devices used should provide us with a copy in black and white, please).

Advertising:Consult the editor. Rates are $60 for a full Crier page, and $30 per half page. We reserve the right to refuse any ad. We run ads on a space available basis only. Payment must be received before any ad will run, so send your check in before your email submission.

Curia minutes: Curia Minutes are available from the Kingdom website (www.antir.sca.org - follow the links to the Chronicler's Office) or by sending a SASE to the Kingdom Chronicler (see Listings for address).

Listings:May only be updated by Kingdom and Principality Officers, with the exception of change of address/phone. All new local branch Seneschals, Chroniclers, and Chatelaines should send their Job Acceptance/Change of Officer form along with proof of membership to their Kingdom or Principality superior who will notify the Crier Branch Listings Editor of the changes. crier-list@antir.sca.org or the Listings Editor is the contact for all listings changes.
